AVSC 4th of July Picnic
Volunteer Job Descriptions


Tuesday, July 3
10:00am - 2:00pm Fencing Crew - Miah Wheeler - lead 4ppl
Set-up perimeter fencing around Koch Park. Post signage. Collect borrowed equipment and load into vans. Stage materials at club.


Wednesday, July 4
8:30am - 10:00am Transport Crew 4ppl
Collect food, grills and supplies at Bumps and transport and unload at BBQ site at Koch Park.

10:00am - 12:30pm Parade - Jo Mueller lead person 8ppl
Collect AVSC van from Clubhouse; load with a cooler of water and stage on Main Street in parade route. Hand out bandanas and candy while participants parade. Following the parade deliver the Van to Koch Park.

10:00am - 11:30am Beverage Set-up 2ppl
Set-up and chill water and drinks.

10:00am - 11:30am Park Squad Set-up 4ppl
Set-up park area to include any tables and chairs, tents and trash. Set out receptacles. Set up BBQ tables, Beer Garden and Root Beer Float and Pie area

12:00pm - 3:00pm BBQ Team 9ppl
Work the BBQ line setting up the salads, chips, condiments, rolls, coolers, etc. Make sure food is stocked as the crowds arrive. Maintain a clean organized food service area. Refresh platters. Grill Assist. Work BBQ's

12:30pm - 3:00pm Tickets and Information 3ppl
Sell picnic tickets at event entrance. Ticket sales to be set-up by 12:30 pm, picnic begins at 1:00pm. Everyone must have a ticket for entry. Comp tickets will be mailed to recipients 2 weeks before the event. Manage bank, report total number of tickets sold and reconcile income received. Pack supplies and put into van. Put deposit in night deposit slot. Accept Cash, Checks and Credit Cards.


12:30pm - 3:00pm Door Duty 4ppl
Monitor the gates of the Picnic to ensure people have tickets for entry. If they don't, direct them to the donation/sales table. Distribute Drink tickets to all entrants. Manage exit and direct people to the entrance.


12:30pm - 3:00pm BBQ Ticket Takers 2ppl
Tear BBQ tickets at the front of the BBQ line.

12:30pm - 3:00pm Beverage Tent 2ppl
Serve. Travel the line delivering water and greeting guests. Maintain clean area and dispose of BBQ area trash.


12:30pm - 2:30pm Beer Garden 3ppl per shift
2:30pm - 4:00pm Staff the Beer Garden. Collect Payment (cash only $3.00). Serve Beer. Maintain clean area and dispose of Beer Garden area trash. Customers will have to be wearing an id bracelet to receive a beer but please double check if you have any doubt. Pack up the remaining supplies, breakdown the tent and pack it all into the cargo van.


1:00pm - 3:00pm Pie Contest JoAnn Neiber - lead person 4ppl
Staff pie contest Tent. Collect entrants, set-up pies, manage judging and serving. Maintain clean area and dispose of area trash

1:00pm - 3:00pm Park Squad BBQ 4ppl
Maintain park during picnic, answer questions, collect and dispose of trash. Run for items if needed.


3:00pm - 6:00pm Park Squad Clean-up 6ppl
Pack up equipment and take down fencing at the end of the event. Transport equipment sand vans to Bumps and AVSC Club House.
